I came across my studio policies the other day from my old portrait company, I'd thought to share them with you.
The importance of studio policies cannot be underestimated as they are kind of like an insurance policy or protection against the inevitable 'worst client' - Sometimes, it doesn't matter how much you help the client, some of them still want the shirt off your back...
Please feel free to use at your own will and responsibly:
1. Session Fee
The session fee pays for the time and talent of the photographer and for your in-person viewing appointment. It does not include any finished portraits unless stated within a package. The session fee is due at the time of your portrait session. Session fees are non-refundable.
2. Rescheduling Sessions
We require 48 hours notice to reschedule a session otherwise a rescheduling session fee of €100 will be incurred. In exceptional circumstances, if you or your children are sick on the day of the session please call to reschedule. Sick or uncomfortable children do not like to be photographed and we know that you will not love your portraits nearly as much as if he or she was in good health.
3. Viewing & Design / Ordering Session
You will view your pre-edited portraits at a personally attended slideshow and work together to create a unique design for your home. Please make sure all decision makers are present as will be asked to order at this time. Additional ordering appointments incur a €100 fee.
4. Image storage
All ordered images are kept on file and backed up. We do not guarantee that un-ordered images are stored.
Due to the custom nature of the work, payment for your order must be placed in full (unless a
payment plan has been requested). In case of cancellation after the order is signed, a fee of 50-75% (depends on status of order) of the full order amount is required. Payments may be made cash, Visa, MasterCard. Payment plans are available.
7. Changing an Order
Changes to an order can be made within 24 hours after the order.
Changes to the order cannot be of less value than the original order.
Orders that are 'fast tracked' for special clients needs can not be changed.
Custom packages cannot be changed.
8. Delivery Time
Please allow 5-7 weeks for your order to be completed. Some orders may take
longer. Your portraits are an investment and an heirloom that should not be rushed.
You will be notified by telephone or text message when your order is ready for pickup.
5. Product Storage
Once you have been contacted to collect your artwork/order, you will have a maximum of 2 months for collection. Artwork/order that is not collected within 2 months will incur an additional storage fee of €50/month
Viva Images 75 year guarantee covers print fading and product defects, it does not include and not limited to scratches and mistreated products. Viva Images is not responsible for frames falling off a wall, unless it is a fault of the product manufacturing. Please refer to our art care instructions.
All copyright of photographic images remains the property of VIVA Images. It is illegal to make copies, edit digital files, scan, print or download images from our website or reproduce these photographs in any manner without our permission. Please understand, the photographer wishes to maintain complete control over the print quality, finishes and presentation of the images and any reproduction outside of the studio may lower the quality of the image and scar our reputation for providing superior portraits.
Viva Images may use your images for promotional use unless you express otherwise in writing. Your personal data will not be passed to any 3rd parties. VIVA Images from time to time send information to you advising you of products, services and special promotions. We may contact you by post, telephone SMS text or email.
